Why Huddleston Electric Switched from Procore to eSUB

When Justin Huddleston, owner of Huddleston Electric, explored Procore, a larger software platform serving both general contractors and subcontractors, the sales pitch caught his attention: connected job-cost information, progress billing, and greater visibility into project finances.

The promise of additional capabilities convinced him to make the switch even if it meant moving off eSUB, a platform his crew was happy with and already using daily.

“We weren't unhappy with eSUB at the time that we left. We just wanted more,” said Justin.

So why did Huddleston Electric end up back at eSUB?

For Justin, Procore didn’t deliver the day-to-day benefits he expected from the sales conversations. The job-costing connection never worked as expected and routine office tasks required more steps than his field crew and office team needed. Returning to eSUB brought back the familiar workflows he and his crew valued along with the new benefits of Fusion by eSUB such as progress billing.

Top Takeaways

  • Why Huddleston Electric returned to eSUB: Justin found Procore’s office workflows cumbersome and its job-costing connection fell short of his expectations.
  • Faster change-order processing: Justin estimated that entering and sending a prepared change order took about two minutes in eSUB versus five minutes in Procore.
  • Progress billing with less duplicate entry: Fusion by eSUB lets the company upload an approved schedule of values from an Excel template instead of re-entering the information.
  • Familiar workflows for the crew: Previous experience with eSUB helped the field crew and office team return to a system and service they already understood and appreciated.

Exploring the Possibilities

Huddleston Electric handles commercial, government, and large residential projects around Santa Barbara, California and neighboring communities. With that variety of work, Justin wanted better visibility into how each job was performing.

The other platform’s proposed connection to QuickBooks was a major draw. He expected payroll and material costs to flow into project financial reports, giving him a clearer picture of where a job stood. Combined with progress billing, that possibility made the switch seem worthwhile.

But getting those benefits proved difficult. Justin described spending considerable time with technical support trying to make the accounting connection work for his business. Meanwhile, everyday office processes introduced their own challenges.

Preparing an invoice meant creating a billing period in one area, then moving elsewhere to begin the billing itself. Change orders involved navigating multiple steps to manage events, requests, approvals, and budget updates.

For Justin, who did not perform those tasks every day, the process was difficult to retain.

The Change Order That Prompted a Change

The turning point came when Huddleston Electric’s estimator was away and Justin needed to prepare a couple of change orders.

It had been about three months since he last completed a change order in Procore. When he tried to step in, he couldn’t remember the sequence.

“I tried the help articles, and I got so confused, I just waited for them to come back,” Justin recalled.

As the person who had set up the system, he found that experience especially frustrating. A routine task had become something he could not readily pick up when the business needed him to.

What stood out was that he still remembered how to do the same work in eSUB, even after roughly a year away.

That contrast brought the decision into focus. The crew needed workflows that were easy to return to, whether someone used them every day or occasionally stepped in to help.

Returning to Familiar Workflows

Justin reached back out to eSUB to ask about progress billing. Learning that the capability was now available gave him a reason to take another look.

Once Huddleston Electric returned on Fusion by eSUB, the crew found that its earlier experience with eSUB Classic carried over.

“They flow the same way. We already knew how to do it,” Justin said.

The familiar process made a difference in change-order administration. Justin estimated that entering and sending a prepared change order took about two minutes in eSUB, compared with roughly five minutes for the comparable process used in Procore. His estimate covered processing the change order; the underlying details were prepared in separate software.

Beyond the minutes involved, he appreciated being able to find information and complete the task without remembering a lengthy sequence of steps.

For Justin and the office, returning meant getting back to a way of working they understood.

Making Progress Billing Easier

Progress billing became the most meaningful addition to Justin’s experience after the return.

On some government projects, Huddleston Electric needs to prepare a schedule of values with around 30-line items. Justin described using eSUB’s Excel template to organize those details and send them to the contractor for review.

Once everyone agrees on the schedule, they can upload it rather than enter the same information again.

"Once we get that approved between us all, I don't have to go and re-input it, I just upload it.”
— Justin, Owner of Huddleston Electric

That process helps the crew accommodate detailed contractor requirements while avoiding another round of data entry. Justin also appreciated how approved change orders carried into the billing workflow, connecting work that he had previously managed through separate steps.

Together, those capabilities gave him a practical reason to return and a better experience once he did.

The Value of Keeping Things Simple

Asked what he would tell another subcontractor about his decision, Justin returned to the importance of simplicity.

He compared good software to a smartphone: the technology behind it can be sophisticated while the experience of using it remains intuitive. For him, an easy interface is part of what makes a capable system useful.

“eSUB does a lot of the complex stuff, and allows it to be simple for me,” explains Justin.

Huddleston Electric’s experience gave Justin a clearer view of what his field crew and office team needed from project management software for electrical contractors. Familiar workflows, accessible information, and connected billing mattered more than the breadth of capabilities they might never use.

Coming back to eSUB brought those priorities together.

“I just want things to work and be simple,” Justin said. “It makes my life easier.”

DRYSTAR Wall & Ceiling Ltd. was paying for a large construction software platform, using only a portion of its tools, and paying extra to make it fit the business. Everyday frustrations were adding up. When the next subscription renewal approached, co-owner Derek Paquette started looking for alternatives that better matched how his company worked.

His field crew had already used eSUB and liked its simplicity; however, at the time, he thought moving to another platform that promised additional capabilities, including progress billing would be best for his growing business. But the experience left Derek navigating workflows designed primarily around larger general contractors.

So what brought DRYSTAR back to eSUB?

A closer fit for the work. Fusion by eSUB offered the subcontractor-focused workflows his crew remembered, along with additional capabilities the business needed.

“It looked like it had everything we needed, so it was an easy choice for us to make the switch,” said Derek.

Key Takeaways

  • Tools that fit the business: DRYSTAR returned to eSUB after paying for unused capabilities and customizations on a larger, GC-focused platform.
  • Simpler change-order delivery: Email attachments give general contractors direct access to change-order documents.
  • Approval visibility in the field: The crew can check change-order status in the app before proceeding with extra work.
  • An easy return: Familiar workflows and responsive support helped the field crew and office team transition to Fusion by eSUB.

A Business Built Around Commercial Work

Founded in 2014, with trade roots reaching back to 1985, DRYSTAR specializes in steel studs, drywall, insulation, acoustical ceilings, and wall panels. Its projects include schools, healthcare facilities, community centers, and other commercial and institutional buildings.

Derek and his brother Kyle own the business as equal partners. Derek handles estimating, contracts, and business development, while Kyle leads operations and field execution.

That division of responsibilities makes accessible information important. The office manages contracts and documentation, while the field crew needs to know what has been approved before moving ahead.

The company’s investment in better systems supports both sides of the business.

When the Platform Required Too Many Adjustments

DRYSTAR had been using Procore, but Derek found that the platform’s emphasis on general contractors showed up throughout the experience, making it feel less aligned with the day-to-day needs of a commercial subcontractor.

Financial terminology centered on owner contracts rather than a subcontractor’s relationship with the GC. DRYSTAR also paid for adjustments to its progress-invoice cover sheet, including formatting and information needed for its Canadian projects.

Those extra costs came alongside a subscription for capabilities the company wasn’t fully using. Routine processes added further frustration.

As renewal approached, Derek researched alternatives through reviews, Google searches, AI tools, and online construction discussions. He wanted to understand what other commercial subcontractors were using.

His earlier experience with eSUB remained a useful point of comparison.

“It always felt like it was geared towards a commercial subcontractor like us,” Derek explained.

A walkthrough of the updated platform showed him how eSUB had developed since DRYSTAR last used it. The combination of familiar workflows and additional modules made returning a straightforward decision.

A Small Detail That Made Work Easier

About four to six weeks into DRYSTAR’s return, one early benefit stood out to Derek: change order documents attached directly to emails.

With Procore, he described recipients following a link into the system and manually exporting a PDF. General contractors unfamiliar with that process would ask where to find the document.

Having the attachment in the original email removed those steps.

“With [eSUB], it’s right in the initial email. It’s just too easy.”

— Derek Paquette, Co-owner, DRYSTAR Wall & Ceiling Ltd.

For Derek, that detail reflected the practical value of simplicity. Sharing a change order meant giving the recipient the document they needed without explaining how to retrieve it.

Knowing What’s Approved Before Work Begins

Change order visibility also supports an important part of DRYSTAR’s company culture: getting the paperwork in place before proceeding with extra work.

When a general contractor asks the crew to move ahead, the question is immediate. Has the change order actually been approved?

Previously, Derek described field staff contacting the office to check. With eSUB, they can see the status in the app themselves.

“Now they can have a quick look on the app and see what’s going on,” Derek said.

That access helps the field crew follow the same documentation practices as the office team. Derek wants written approval in hand rather than reaching the end of a project with extra work completed and outstanding paperwork.

“Get it in writing, or check: Has the paperwork been approved?” is how he described the expectation for his site crew.

Having that information available helps them respond when someone is asking them to act.

An Easy Return and a Team That Listens

Derek described the transition back as easy for both the field crew and office team. Their previous experience meant many of the workflows were familiar.

He appreciated the implementation meetings with site staff, follow-up support, and responsiveness to questions.

“Your team has been great, transitioning us back in,” Derek said.

For Derek, coming back to eSUB meant finding software and a responsive team that understands their needs. From accessible documents and visible approvals to hands-on support from people who listen, eSUB has built a tool around the work of a commercial subcontractor.
