Established in 1945, Lexington Plumbing & Heating is a prominent leader in plumbing and heating services in the Kansas City area. The company focuses on new construction and renovation projects and utilizes eSUB as its field-based project management solution.
Subcontractor Centric Workflows
Unlike their previous GC-based project management system, eSUB’s workflows such as Submittals are simple and tailored for how subcontractors work.
Proven Accounting Integration
Minimize duplicate entry and streamline payroll with eSUB-Sage 300 accounting integration.
Top-notch Customer Support
Lexington Plumbing now benefits from eSUB’s very responsive support team that works in close partnership with their users, whereas their previous vendor never returned their phone calls.
Lexington Plumbing and Heating was in dire need of a project management solution that integrates with Sage 300 CRE (formerly Timberline) accounting solution. Sage 300 CRE serves as the major backbone of the organization, and Lexington Plumbing tried a couple of different solutions that did not work for their needs.
“One solution we tried had a very dated interface and was not user-friendly for the field,” said Wes Hotze, vice president for Lexington Plumbing. “Then we worked with another vendor that said they had their project management solution integrated with Sage; however, they never got it to work. Every time we called them to assist, they never called us back.”
The lack of integration and unresponsiveness caused Lexington Plumbing to seek a new solution for project management. Because the Sage 300 integration was critical, they worked closely with their Sage reseller, Bangert, to find a new solution. The team at Bangert led them in the direction of eSUB Construction Software, a leading field data and project management solution made exclusively for subcontractors.
“We’re pleased with the integration between eSUB and Sage for timekeeping and payroll. All we have to
do is click a few buttons. There is no duplicate entry, and the entire process has cut our payroll processing time by half.”
An Integrated Platform for Field, Project Management, and Accounting
“We needed a simple way to streamline our operations of capturing labor hours in the field and importing it into Sage for payroll,” says Mr. Hotze.
“We’re pleased with the integration between eSUB and Sage for timekeeping and payroll. All we have to do is click a few buttons. There is no duplicate entry, and the entire process has cut our payroll processing time by half.”The Field Supervisors at Lexington Plumbing utilize the eSUB Field Works mobile app to enter crew information, labor activity, and hours. Once the Field Supervisors capture that information, it is available for the Lexington Project Managers and Accounting teams to review, edit, and approve as needed. Once approved, the
timecard information is exported from eSUB and imported directly into Sage 300 for payroll.
While the primary reason for digitizing field activity is to capture labor hours and streamline payroll, Lexington Plumbing receives the added benefit of an electronic daily report with photos and field notes. The mobile app works in an offline mode, soField Supervisors can document activity in detail as it occurs throughout the day. No longer are reports being completed at the end of the day or the week to enter information when the details may be less clear.
“Every morning, I log into eSUB to review all job site activity across all projects through the Corporate Management Overview and Reports. eSUB saves me and my Project Managers valuable time. We no longer need to call the Field Supervisors to get status updates and take away from their productivity. eSUB delivers complete visibility on everything that’s going on, and it’s proven that our Field Teams are more accountable and more productive.”
“With all our project documentation, such as Daily Reports, RFIs, Submittals, and CORs created, stored, and emailed from eSUB, we have a level of organization and trackability to serve as valuable insurance for our organization.”
A Subcontractor-Focused Workflow
eSUB is the ONLY field-based project management solution that is developed from the ground up for subcontractors. Because of that narrow focus, the workflows ingrained in the system make more sense for trade contractors than many general contractor-based systems.
“Because our last system was a general contractor-based system, many of the workflows, such as the Submittals, were very cumbersome,” continues Mr. Hotze. “We were tripping on our own feet to do simple tasks because we had to make constant adjustments to the system and our process to make it work.”
eSUB Submittals delivers the simplicity that subcontractors need in managing submittals, registry items, and corresponding approvals. Ball-in-court designations and routing assignments are essential for General Contractors to track and a key requirement in GC-based project management systems. Whereas subcontractors, who are responsible for the purchase and implementation of materials, need a system that allows them to track individual submittals items to the level of detail that eSUB delivers.
More than just Submittals, eSUB delivers a full platform for tracking all of the documentation related to Lexington Plumbing’s projects. Mr. Hotze recalls a recent project in which Lexington Plumbing had not received payment. In the lien filing, the General Contractor contested when Lexington Plumbing was last on the project performing contractual work. Mr. Hotze performed a quick search of the Project’s Daily Reports and Field Notes. He retrieved a photo of gas piping that the field team had installed on the project that was date and time stamped to support their lien claim.
Mr. Hotze says, “eSUB is our platform to track and store all pertinent information related to a project. Daily Reports and Field Notes serve as critical memory refreshers of what occurs on the job site that we can pull as needed when communicating with our customers and general contractors. eSUB’s integrated email capabilities allow us also to store project-related emails and ensure everything is all in one place. With all our project documentation, such as Daily Reports, RFIs, Submittals, and CORs created, stored, and emailed from eSUB, we have a level of organization and trackability to serve as valuable insurance for our organization.”
