Background

Lexington Plumbing and Heating was in dire need of a project management solution that integrates with Sage 300 CRE (formerly Timberline) accounting solution. Sage 300 CRE serves as the major backbone of the organization, and Lexington Plumbing tried a couple of different solutions that did not work for their needs.

 

“One solution we tried had a very dated interface and was not user-friendly for the field,” said Wes Hotze, vice president for Lexington Plumbing. “Then we worked with another vendor that said they had their project management solution integrated with Sage; however, they never got it to work. Every time we called them to assist, they never called us back.”

 

The lack of integration and unresponsiveness caused Lexington Plumbing to seek a new solution for project management. Because the Sage 300 integration was critical, they worked closely with their Sage reseller, Bangert, to find a new solution. “We needed a simple way to streamline our operations of capturing labor hours in the field and importing it into Sage for payroll,” says Mr. Hotze.

Once the Field Supervisors capture that information, it is available for the Lexington Project Managers and Accounting teams to review, edit, and approve as needed. Once approved, the
timecard information is exported from eSUB and imported directly into Sage 300 for payroll.

 

While the primary reason for digitizing field activity is to capture labor hours and streamline payroll, Lexington Plumbing receives the added benefit of an electronic daily report with photos and field notes. The mobile app works in an offline mode, soField Supervisors can document activity in detail as it occurs throughout the day. No longer are reports being completed at the end of the day or the week to enter information when the details may be less clear.

A Subcontractor-Focused Workflow

He retrieved a photo of gas piping that the field team had installed on the project that was date and time stamped to support their lien claim.
